Purchase orders are made up of two types of item:
· Stock, and
· Ad-hoc items
These are regarded as purchase order lines. A purchase order can have several lines perhaps
comprising a mix of both types.
Ad Hoc items are one-off purchases for anything required in production or delivery of a job, or in
general. They can be specified for any task in the estimate calculation,
and approved through the
committals tab after the job is confirmed. They can also be completely free-standing - i.e. not
directly related to production at all, in which case they can be created through create new order.
Stock orders are purchase orders raised specifically to replace or supply controlled
stock items
used (or to be used) in a job or elsewhere. They can be raised automatically through the re-orders list,
or specifically through the orders link for a controlled stock item.
The concept is that items of either type are accumulated, then periodically (it might be once or
twice a day) the purchase orders are printed and/or emailed.
This enables more than one item to
be included in the order.
You can amend a live
stock purchase order although it has been printed, provided that you have
not already received all the stock items, and you can delete live purchase orders provided you
have not received them at all.
