When you select Jobs management in the main screen you will see, across the top of the
screen, a list of types of job:
On the left, the 'alarm clock' icon shows you 'recent jobs'
The next group is for the most part self-explanatory, but the rest need a little more explanation.
On-line jobs refers to those jobs created on the Internet by on-line customers
Live RFQs are those jobs where you are waiting for quotes from suppliers using the RFQ
(Request For Quote) tool.
Quick quotes refer in this context not to the jobs or estimates which have been constructed
using Quick Quote templates, but to the templates themselves. Selecting this gives you a list
of Quick Quote template jobs. They are NOT live jobs and will not be counted for (e.g.) profit
accrual.
You create a Quick Quote template saving an existing (single part) job 'as' a Quick Quote in
the Job Desktop.
Price List jobs in this context are again not live jobs, but reference jobs for the production of
price lists. Again you create them by saving an existing (single part) job 'as' a Price List job.
Having selected the type of job, you can choose the specific job or jobs you are interested in.
You can narrow your search by keying in some of the title, or the estimate or job number into
the quick search box at the top of the screen. The list will shrink automatically to include only
those jobs which match your criteria.
If you double click a single job you will be taken into the Job Desktop.
If you highlight one or more jobs,
· you will see a preview of the currently selected job either to the right of the list of jobs or
under it (depending on which view you are using). If you can't see it then you probably
need to change your view by turning on the preview - click on the drop-down at the top
right - i.e. .
· If your selected job is a live job you will also be able to see and change the progress
of the
job. You can toggle between the preview and the progress view by clicking at the top of
the preview pane - i.e.
· You can perform a variety of actions on selected job or jobs by right clicking. You'll see
something like the following window (bear in mind that not all these options will be
available, depending on the status of the job):
Schedule allows you to adjust the schedule for a selected job or for a range of jobs This uses
the same constructs as in the schedules tab of the job
desktop.
Properties shows simple information about this job and allows you to record notes, purchase
order numbers etc.
Delete deletes the job. Note that you can't delete a live job - you'll have to either un-confirm it
or invoice it.
Copy allows you to save a copy of this job as a new job, as a quick quote template to be used
in the construction of other jobs (only for single part jobs) or as a 'price list job' means that we
save a copy as a reference jobs for the production of price lists (again, only for single part
jobs).
Quote allows you to print a quote for the job(s) without opening the job desktop
Deliver allows you (for confirmed jobs) to deliver them, optionally printing delivery note,
reorder slips and box labels.
Invoice allows you (for delivered or part-delivered jobs) to invoice them.
Cost this job takes you to the job costing program to enter actual costs incurred in the
production of this job
Show Profit Accrual for selected jobs runs the standard profit accrual for those jobs,
allowing you to see the added value, and (for costed jobs), real against theoretical costs, and
the value of work in progress
Group by ... If you click this you will see that you can group the selected records (in the case of
jobs by date, customer etc.)
