Exporting to CSV files for accounts

Data from your invoices and credit notes can be exported from your system for importing to your accounts package.  This means that you don't have to enter all the details twice.  The exported records are in CSV (comma separated variable) format, which is a standard that can be used by many accounting systems.

Before you can use this facility, you must first define how you want the exported records laid out. Click on the cogwheel and select Accounts outputs . Before attempting to set them up, you should consult the manual for your accounts package.

Every time you invoice a job a sales transaction record is saved.  When you want to export them just click on the Export button in the Jobs and Estimates screen, and it will write the files (one for the invoiced jobs, one for credit notes and one for the customers referenced by those items) and then mark the record as "exported" so that it doesn't export the same transaction twice.

You first see a screen similar to the following:

The first time you see this screen the file names will be blank.  Use the "..." buttons for each file to guide you to the folder from which you want your accounts program to pick the data up,  then enter the file names.

Then simply click on Start, and the files will be exported.

N.B. It is your own responsibility to delete the old files after you have successfully imported them into your accounts program.
